Beginning in August you will be sent a unique customer service number for ordering and tracking purposes. As a confirmed exhibitor, you also have the option of creating a customer profile on the GES website to look up your customer services number and both order and check pricing online.

Required Permits

For exhibiting companies selling directly off the trade show floor

California state law requires that all exhibitors selling merchandise from the floor or taking orders either on a wholesale or retail basis must have a valid California seller’s permit. Management is responsible for notifying exhibitors of this requirement and identifying those to which this requirement applies.

Any exhibitor whose only business in San Diego is to sell merchandise from the San Diego Convention Center show floor must obtain a transient merchant license. This does not affect exhibitors engaging non-monetary exchange such as placing merchandise orders.

Seller’s permits can be obtained through the California State Board of Equalization. Refer to the local telephone directory for the location of the nearest field office listed under the State of California “Taxes” section, Board of Equalization, or online.

Union regulations

Union jurisdiction: Many services provided to exhibitors and contracted for/by exhibitors are normally subject to union regulations. Exhibitors must comply with applicable union requirements. When contracting for labor help, exhibitors must employ only from official contractors recognized and assigned by CSBA. Further, union jurisdictions prevail over all set-up and dismantling of exhibits, including signs and laying of carpet. This does not apply to the unpacking and placement of your merchandise. You may set-up your exhibit display if one person can accomplish the task in less than 30 minutes without the use of tools. If your exhibit preparation, installation and dismantling requires more than 30 minutes, you must use union personnel supplied by the Official Decorating Contractor. As an exhibitor, you will be pleased to know that when union labor is required, you may provide your company personnel to work along with a union installer on a one-on-one basis.

Electrical Installation

Members of the International Brotherhood of Electrical Workers claim jurisdiction for hardwiring ordered outlets to the line side of the exhibitors’ equipment and wiring of caps over 120 volts, to the raw cord feeding exhibitors’ equipment. All plugs over 120 volts will be plugged in by electrical union personnel. Exhibitors may plug in their own plugs of 120 volts to their ordered outlets.

Exhibit installation/dismantling

Union jurisdictions prevail over all setup and dismantling of exhibits, including signs and laying of carpet. This does not apply to the unpacking and placement of your merchandise. You may setup your exhibit display if one person can accomplish the task in less than 30 minutes without the use of tools. If your exhibit preparation, installation, or dismantling requires more than 30 minutes, you must use union personnel supplied by the Official Decorating Contractor. As an exhibitor, you will be pleased to know that when union labor is required, you may provide your company personnel to work along with a union installer in San Francisco on a one-to-one basis.

Material handling

Union jurisdictions prevail over the operation of all material handling equipment, all unloading, reloading and handling of empty containers. An exhibitor may move only material that can be hand carried by one person in one trip, without use of dollies, hand trucks or other mechanical equipment.

School bus exhibitors

Motor vehicles within the exhibit hall shall comply with the San Diego fire department regulations for conventions and special exhibits. Fuel tanks, unless never having held fuel, shall be maintained with a quantity not to exceed one quarter of tank capacity or five gallons, whichever is less. Caps for fuel tank fill pipes shall be of the locking type and be maintained locked. If it is not practical to attach such a cap, an alternative method shall be employed with prior permission from the San Diego fire marshal.

The electrical system shall be de-energized by removing the battery/batteries or removing the battery cables; or disconnecting both battery cables and covering them with electrical tape or other similar insulating material. No liquid petroleum gases shall be permitted in the building either for sale or use without approval from fire prevention.
