The Hyatt Regency Sacramento and the Sheraton Grand Sacramento are the official Headquarter Hotels for AEC this year! The Hyatt will host the Delegate Assembly and Golden Bell Awards, while meal functions will be held at both the Hyatt and Sheraton, unless otherwise noted.
The SAFE Credit Union Convention Center will be the venue for AEC General Sessions, Breakouts, Trade Show Floor, and Pre-Conference Programs.

Housing Policies
All hotel reservations require a credit card guarantee. To avoid incurring a cancellation penalty, guests must provide advance notice of their cancellation. We recommend clarifying the cancellation policy directly with the hotel, as each establishment may have its own unique policies. Failure to arrive on your scheduled arrival date will result in a penalty equal to one (1) night’s room and tax. In addition, your reservation will be canceled in its entirety. Penalties for early departure are enforced and vary by hotel. Make sure to verify your departure date with your hotel upon check-in. The hotel may charge a one (1) night room and tax deposit upon receipt of the rooming list, starting on or after Monday, Nov. 10, 2025 (dependent on your hotel).
All hotel rooms confirmed in your group block must have names assigned no later than Tuesday, July 15, 2025, at 3 p.m. (PDT) (with the exception of any pending reservations within your block). Your local education agency (LEA) is allowed to hold a maximum of two (2) pending reservations until the housing deadline, Tuesday, Nov. 4, 2025, at 3 p.m. (PST).
Prior to the housing deadline of Tuesday, Nov. 4, 2025, at 3 p.m. (PST) you may make any changes to your reservation online, or via email at csba@maritz.com.
Starting on Friday, Nov. 14, 2025, you may begin contacting the hotel to make changes. ***For the Sheraton Grand and Hyatt Regency please contact your hotel directly, on or after Wednesday, Nov. 19, 2025.
Between Monday, Nov. 10, 2025 and Thursday, Nov. 13, 2025 we appreciate your understanding as we observe a blackout period for transferring information directly to the hotels within the CSBA negotiated room blocks. During this period, contacting the hotels directly may result in information not being readily available.
The hotel rates provided are subject to current taxes and service fees by the hotel. A portion of the room rate paid by the hotel guests in attendance for CSBA’s AEC may be used by CSBA to offset costs involved in conducting this event.
Group Housing Reservation Limit
In our ongoing efforts to streamline the AEC registration and housing process, we’re implementing a housing reservation limit for LEAs participating in group bookings. Each LEA can reserve a maximum of 12 rooms. This measure aims to address overbooking concerns, ensuring fair access for all attendees.
Housing Warning
Maritz Global Events serves as the designated housing provider for the California School Boards Association (CSBA) Annual Education Conference and Trade Show (AEC). It’s important to note that any attempt to solicit hotel reservations from entities other than Maritz Global Events is not endorsed. Reservations obtained through unaffiliated sources may seem enticing with potentially lower rates, but they could be unauthorized, lack available rooms, impose unreasonable cancellation policies, or be non-refundable. Please remain vigilant and promptly report any unauthorized solicitations to CSBA.
When securing accommodations (commonly known as room blocks) for AEC, we diligently vet properties to ensure they meet our standards and offer discounted rates for attendees. Unfortunately, it has come to our attention that attendees may receive unsolicited offers for discounted accommodations via fax, email, or phone. These offers may falsely claim association with CSBA or AEC, which is inaccurate. Maritz Global Events is the exclusive provider of housing services for AEC.
How it works
Room poaching is a practice carried out by third-party companies that act as travel agencies, wholesalers or destination management companies, soliciting event registrants for hotel room reservations.
These poachers may falsely claim that the official room block is fully booked and pressure registrants to book with them immediately to secure a room. They may also distribute forms or promotional materials that appear to be endorsed by us, adding to the deception.
This practice undermines our ability to fulfill our room block commitments and exposes us to penalties and higher room rates for our events. Furthermore, room poachers frequently fail to deliver on their promises to customers. Upon arrival, customers may find that their reservations do not exist, the hotels are inconveniently located, or hefty cancellation fees have been charged to their credit cards. Poachers often attempt to deceive customers by unlawfully using our logo to falsely represent affiliation with our organization.
