Presenters FAQs

Will any other conference-related presenter expenses be covered by CSBA?

No. CSBA is unable to absorb costs associated with presenting at conference.

Do I need to register for conference?

Presenters are registered in early November for a complimentary one-day pass for the day of their presentation. If you wish to attend the entire conference, you must register at the full conference rate. If you would like to register for the full conference and/or reserve housing, send your request to aec@csba.org.

Do I need to watch the presenter training in September?

Yes, all presenters must review a pre-recorded presenter video by Wednesday, Sept. 30. This training is essential for all AEC 2026 presenters.

Can I add or change presenters to my session’s panel?

Yes. AEC presenter changes will be accepted until Thursday, Aug. 27. Please note that you cannot exceed the limit of 4 presenters per workshop panel, including the moderator. Email aec@csba.org with the proposal number and presenter change form.

What should I do when I arrive for my presentation at AEC?

Please plan to arrive at least 45 minutes before the start of your session to pick up your badge credentials and locate your session room. This is particularly important if your session begins during high-volume registration time, such as the morning before the first round of sessions. Registration will be open Wednesday, Dec. 2 through Saturday, Dec. 5, 2026.

How will attendees be able to give feedback on my session?

Please direct your session attendees to complete the session survey on the AEC app. The session survey will appear minutes before the session is scheduled to end.

Who do I contact if I have a general question about my CSBA presentation?

Please direct all questions to Felicia Phillips, AEC Program Manager, at aec@csba.org.

What room will I present in?

Please search your session on the AEC website or the AEC app to find the most up-to-date information.

Who will my audience be?

The audience demographics for conference attendees are composed of district and county governance teams; school board members, superintendents, high-level district and county office of education staff.

How do I share my handouts?

Each year, CSBA provides a PowerPoint template that mirrors the conference artwork. We encourage presenters to use the AEC template. You may submit supplemental material as handouts to be available on the AEC app. Handouts must be provided as a PDF document and cannot exceed 10MB per document. You may also submit your PowerPoint in PDF format as a session handout. Additionally, you can provide presenter headshots and biographies  for the conference app. Headshot images can be .jpeg, .jpg, .bmp, .webp  with a max file size of 24 MB. Email your session’s handouts, headshot images and biographies with the corresponding session title to aec@csba.org by Thursday, Oct. 22.

If no materials are submitted by the deadline, we will assume you do not wish to have your session materials available on the app. If you miss the deadline of Thursday, Oct. 22, we cannot guarantee your materials will be uploaded and available on the AEC app during conference.

Can I send session materials directly to the San Diego Convention Center?

No. The San Diego Convention Center is unable to receive deliveries.

Will I have Internet access in my session room?

Yes, there will be complimentary Wi-Fi throughout the San Diego Convention Center.

What A/V will be provided in the session rooms?

All breakout session rooms will be prepared with the following set up and audio/visual equipment:

  • Head table for three people with a standing podium for a fourth presenter
  • Podium microphone and (3) wired gooseneck push to talk microphones on a panel table on-stage
  • Large screen and LCD projector
  • Audio projection capabilities
  • Wi-Fi
  • HDMI cable connection

CSBA will NOT provide the following. Presenters are responsible for providing these:

  • Laptops/computers and chargers
  • Software for PowerPoint or other presentations already installed
  • Presentation file
  • Any other connection cord for your laptop that is not an HDMI

Due to the high cost of audio/visual equipment, setup and maintenance, CSBA is unable to make any changes to what is provided above and on-site requests will not be honored.

Will there be staff around to assist me in case of any problems?

Yes. Conference staff will welcome the presenters, take room counts and close doors when rooms reach capacity. Additionally, several A/V technicians from our production company, Show Imaging, will be onsite for support.

How will CSBA communicate with me regarding my session?

All of CSBA’s communications will be done through the email addresses provided during the proposal submission process.
